One app for the people behind the smiles. Scheduling, staffing and team communication for Encore Orthodontics, designed through the practice’s transition from Burke to Encore.

Encore Orthodontics cares for patients across Centerville, Huber Heights and Miamisburg, Ohio. Behind every appointment is a team coordinating offices, schedules and responsibilities. The app began with a practical need: give those people a clear way to know where they’re working, who’s with them and what needs their attention.

At Vaughn, I took that need into product planning, user flows, interface design and development. The work began as Burke Orthodontics’ staff app. While it was taking shape, the practice rebranded as Encore Orthodontics. That transition became part of the product brief: carry the new identity into a tool the team would use every day, while keeping the practice’s real working needs at the center.

The experience starts with Today: the person’s assignment, important updates and useful next actions. Schedule, Team and More give everyday tasks a consistent home. Staff can review assignments, request time off, message teammates, respond to events and submit expenses. Administrators use the same design system to build schedules, check coverage, review requests and manage team access.

Each decision connects to how the practice works. People move between offices, so assignments follow the day rather than a fixed home location. Office colors and distinct marker shapes help people recognize locations without relying on color alone. Navy headers, rounded light surfaces and readable type keep the app calm; shared controls and generous touch targets make connected screens feel familiar.

The deeper work lives between screens. A time-off request needs a reviewer, a final decision and a clear next step. A schedule needs office days, eligible staff and enough clinician coverage before publication. An expense needs a receipt, a route for missing information and a distinction between approval and reimbursement. Those connections shaped the forms, queues, status messages and permission rules.

I developed the product from the Paper designs into a working app, using reusable components to carry the visual system into code. The build record documents simulator checks across staff and admin experiences, alongside accessibility, responsive layouts and recovery states. A separate review mapped 51 scenarios and recorded gaps in invitations, approvals, schedule changes and interrupted actions, giving the next development passes specific work to resolve.

Encore is progressing toward launch. The work brings a changing brand and a complex daily operation into one coherent product, with its design decisions and implementation guidance documented. That is how I approach a brief: understand the people, follow the task through its handoffs and exceptions, then build the experience around what actually needs to happen.
